General Data Protection Regulation (GDPR)

How Parsevix complies with the GDPR

GDPR Compliance

We process personal data in line with the EU General Data Protection Regulation (GDPR). Because we are established in Turkey, the Turkish Personal Data Protection Law No. 6698 (KVKK) applies as well.

Through our Privacy and Cookie Policy, we fulfill our obligation to inform you, as a data subject, about our processing of personal data in accordance with articles 13 and 14 of the GDPR.

What personal data does Parsevix collect?

Parsevix may collect, store and use the following types of personal information:

  • When you sign up, sign in and use the website: your IP address and browser type (user agent)
  • A record of your sign-ins and of your API calls, kept for 30 days
  • Information, such as your name and email address, that you enter in order to create an account or to contact us
  • Documents you upload for processing, which may contain personal data belonging to you or third parties
  • Information contained in any communication you send to us by email, including the content of the communication and metadata
  • Any other personal information you choose to send us

Before uploading documents containing another person's personal information, you must ensure you have lawful basis to do so and that such processing is in accordance with applicable data protection laws.

How do we collect your data?

You provide most of the data we collect directly to Parsevix. We collect and process data when you:

  • Create an account or sign in
  • Upload documents for processing
  • Use our REST API
  • Subscribe to a paid plan
  • Send documents via your email inbox
  • Contact us via email
  • Visit our website

Why do we collect your personal data?

The purpose of the processing of personal data is to:

  • Provide, maintain, and improve our document extraction service
  • Process your documents and deliver structured extraction results
  • Manage your account and subscription
  • Send transactional emails (account verification, password reset, billing notifications)
  • Monitor for abuse and enforce our Terms of Service
  • Comply with our legal obligations

Who processes your personal data?

The information we collect may be processed by:

  • Parsevix's authorized personnel
  • Service providers that run parts of the service for us: Hetzner (our server and mail server, Germany), Microsoft Azure (file storage, Germany), Google Gemini API (masked document text only) and Cloudflare Turnstile (bot check on sign-in forms); the full list is in our Privacy Policy
  • Paddle, our reseller and Merchant of Record, for payments and invoices
  • Public or governmental authorities — to comply with our legal obligations

How long is personal data kept?

Your personal data is kept:

  • Uploaded documents: Until you delete them or your account. Files uploaded through the API are deleted right after processing unless the project keeps them
  • Extraction results: Until you delete them or your account is terminated
  • Account data: For the duration of your account; deleted after a 30-day grace period once you delete the account
  • Sign-in history and API logs: 30 days; refused sign-up attempts 90 days
  • Billing records: As required by applicable tax and financial regulations

What is our legal ground for processing your personal data?

We process certain personal data about you on the basis of legitimate interests:

  • To keep the service secure and prevent abuse, for example sign-up limits per network and per e-mail domain
  • To keep web server logs for security and error analysis
  • When we handle your questions or support requests

We process certain personal data about you on the basis of contractual necessity:

  • When you create an account and use the Service, including processing your documents
  • When we manage your subscription and billing

In certain circumstances, we process personal data to comply with applicable legal or regulatory requirements — for example, retaining billing records as required by tax law.

What are your data protection rights?

Parsevix would like to make sure you are fully aware of all of your data protection rights. Every user is entitled to the following:

  • You have the right to know whether or not your personal data is being processed and to request copies of your personal data from Parsevix
  • You have the right to ask Parsevix to correct any information you believe to be inaccurate or incomplete
  • You have the right to request that Parsevix erase your personal data, subject to certain conditions
  • You have the right to ask Parsevix to restrict the processing of your personal data, under certain conditions
  • You have the right to object to Parsevix's processing of your personal data, under certain conditions
  • You have the right to request that Parsevix transfer the data collected to another organization, or directly to you, under certain conditions

To exercise any of these rights, contact us at hello@parsevix.com. We will respond within 30 days.

Do we transfer your personal data?

Our server (Hetzner), which also sends our e-mails, and our file storage (Microsoft Azure) are in Germany. Only masked document text goes to the Google Gemini API, which may process it in the USA; the bot check on our sign-in forms is run by Cloudflare (USA). These transfers rely on the EU–US Data Privacy Framework or the European Commission's Standard Contractual Clauses. We operate the service from Turkey; for our business customers' documents, the Standard Contractual Clauses in our Data Processing Agreement apply.

Security at Parsevix

How we protect your data at every layer

Our approach

At Parsevix, the security of your data is foundational to how we design, build, and operate our platform. We combine strong technical controls with disciplined operational practices to protect confidentiality, integrity, and availability.

AI and data use

We never train or enhance AI models with your data, and we never sell it. Your data remains exclusively yours and is processed only to deliver the services you request.

Before any document text reaches a third-party AI service, our software automatically detects personal data — names, companies, addresses, phone numbers, e-mail addresses, IBANs, ID numbers and more — and replaces it with placeholders. The AI works on the masked text, and the original values are put back on our server. The detection is automatic and catches most personal data, but it cannot guarantee to catch every item. If masking fails, the document stops there.

Data storage and encryption

All data in transit is protected over HTTPS with TLS 1.2 or higher. Uploaded files are stored encrypted in Microsoft Azure in Germany, and our database runs on encrypted disks. Passwords are stored as strong one-way hashes, and API keys are hashed before storage. Payment details never touch our servers: payments are handled by Paddle, our PCI-DSS compliant reseller.

Infrastructure security

The service runs on a dedicated server we rent from Hetzner in a data centre in Germany, administered only by us. Uploaded files are stored in Microsoft Azure in Germany. Access to the server is restricted to us, with SSH key-based authentication.

Availability and resilience

We take regular automated backups and routinely verify restore procedures to reduce the risk of data loss. Our systems are monitored to ensure rapid response to anomalies. We deploy updates through CI/CD pipelines with containerized deployments to minimize downtime.

Data ownership, retention, and deletion

You retain full ownership of all documents you upload and all extraction results generated from your documents. For document processing, you act as the Data Controller and Parsevix acts as your Data Processor — we process your data strictly according to your instructions.

You can delete individual documents, extraction results, or your entire account at any time from the dashboard. Deleted data is removed from our systems; copies in our database backups are overwritten within 14 days.

Privacy and confidentiality

We never sell or rent customer data. Employee access is tightly restricted on a need-to-know basis and is governed by confidentiality obligations. We do not use your documents or extraction results for any purpose other than providing the Service.

Secure development

Security is integrated into our software development lifecycle. Code changes undergo review before release. We maintain test coverage and use dependency scanning to identify and remediate vulnerabilities early.

Incident response

We follow documented incident response and escalation procedures. Continuous monitoring helps us detect unusual activity quickly. If a data breach were to occur, we would notify affected customers and — where required — regulators within 72 hours, in line with GDPR.

Data Processing Agreement (DPA)

Our standardized DPA supplements the Terms of Service when the GDPR or the Turkish KVKK applies

Agreement overview

This Data Processing Agreement (“DPA”) supplements the Terms of Service between you (“Customer”, the controller) and Endoi, 08000 Merkez/Artvin, Turkey (“Processor”), and applies when the GDPR or the Turkish Personal Data Protection Law No. 6698 (KVKK) applies to personal data the Customer has the Processor process through the Service.

This DPA is effective from the date the Customer agrees with the terms and conditions of the TOS. If there is any conflict between this DPA and the TOS, the relevant terms of this DPA take precedence.

1. Definitions and Interpretation

Unless otherwise defined herein, capitalized terms and expressions used in this DPA shall have the following meaning:

  • "Company Personal Data" means any Personal Data Processed by a Contracted Processor on Controller's behalf pursuant to or in connection with the Principal Agreement
  • "Contracted Processor" means a Subprocessor
  • "Data Protection Laws" means EU Data Protection Laws and, to the extent applicable, the data protection or privacy laws of any other country
  • "EEA" means the European Economic Area
  • “EU Data Protection Laws” means the GDPR and the laws of the EU Member States implementing or supplementing it
  • "GDPR" means EU General Data Protection Regulation 2016/679
  • "Data Transfer" means: (a) a transfer of Company Personal Data from Controller to a Contracted Processor; or (b) an onward transfer of Company Personal Data from a Contracted Processor to a Subcontracted Processor, or between two establishments of a Contracted Processor, in each case, where such transfer would be prohibited by Data Protection Laws
  • "Services" means the Parsevix APIs (application program interface), web dashboard, and the professional services provided by Parsevix
  • "Subprocessor" means any person appointed by or on behalf of Processor to process Personal Data on behalf of Controller in connection with the Agreement

The terms "Commission", "Controller", "Data Subject", "Member State", "Personal Data", "Personal Data Breach", "Processing" and "Supervisory Authority" shall have the same meaning as in the GDPR, and their cognate terms shall be construed accordingly.

2. Processing of Company Personal Data

Processor shall:

  • Comply with all applicable Data Protection Laws in the Processing of Company Personal Data
  • Not process Company Personal Data other than on Controller's documented instructions

Controller instructs Processor to process Company Personal Data to provide the Services and related technical support.

3. Processor Personnel

Processor shall take reasonable steps to ensure the reliability of any employee, agent or contractor who may have access to the Company Personal Data, ensuring in each case that access is strictly limited to those individuals who need to know / access the relevant Company Personal Data, as strictly necessary for the purposes of the Principal Agreement, and to comply with Applicable Laws in the context of that individual's duties, ensuring that all such individuals are subject to confidentiality undertakings or professional or statutory obligations of confidentiality.

4. Security

Taking into account the state of the art, the costs of implementation and the nature, scope, context and purposes of Processing as well as the risk of varying likelihood and severity for the rights and freedoms of natural persons, Processor shall in relation to the Company Personal Data implement appropriate technical and organizational measures to ensure a level of security appropriate to that risk, including, as appropriate, the measures referred to in Article 32(1) of the GDPR.

In assessing the appropriate level of security, Processor shall take account in particular of the risks that are presented by Processing, in particular from a Personal Data Breach.

5. Subprocessing

The Customer authorises the Processor to engage the following subprocessors: Hetzner Online GmbH (server hosting, including our own mail server, Germany), Microsoft Ireland Operations Ltd. (Azure file storage, Germany) and Google (Gemini API, processing of masked document text, possibly in the USA). The Processor informs the Customer by e-mail at least 30 days before adding or replacing a subprocessor; the Customer may object for good reason and, if no solution is found, terminate the affected service. The Processor binds every subprocessor to data protection obligations no less protective than this DPA.

6. Data Subject Rights

Taking into account the nature of the Processing, Processor shall assist Controller by implementing appropriate technical and organisational measures, insofar as this is possible, for the fulfilment of Controller obligations to respond to requests to exercise Data Subject rights under the Data Protection Laws.

Processor shall:

  • Promptly notify Controller if it receives a request from a Data Subject under any Data Protection Law in respect of Company Personal Data
  • Ensure that it does not respond to that request except on the documented instructions of Controller or as required by Applicable Laws, in which case Processor shall to the extent permitted inform Controller of that legal requirement before responding to the request

7. Personal Data Breach

Processor shall notify Controller without undue delay upon becoming aware of a Personal Data Breach affecting Company Personal Data, providing Controller with sufficient information to allow Controller to meet any obligations to report or inform Data Subjects of the Personal Data Breach under the Data Protection Laws.

Processor shall cooperate with Controller and take reasonable commercial steps as are directed by Controller to assist in the investigation, mitigation and remediation of each such Personal Data Breach.

8. Data Protection Impact Assessment and Prior Consultation

Processor shall provide reasonable assistance to Controller with any data protection impact assessments, and prior consultations with Supervising Authorities or other competent data privacy authorities, which Controller reasonably considers to be required by article 35 or 36 of the GDPR or equivalent provisions of any other Data Protection Law, in each case solely in relation to Processing of Company Personal Data.

9. Deletion or Return of Company Personal Data

Within 30 days after the Services end, or earlier on the Customer's instruction, the Processor deletes the Company Personal Data, unless the law requires storage. Copies in database backups are overwritten within 14 days.

10. Audit Rights

Processor shall make available to Controller on request all information necessary to demonstrate compliance with this Agreement, and shall allow for and contribute to audits, including inspections, by Controller or an auditor mandated by Controller in relation to the Processing of the Company Personal Data by the Contracted Processors.

11. Data Transfer

The Processor stores and processes Company Personal Data on servers in Germany. Because the Processor is established in Turkey, for which no EU adequacy decision exists, the Parties agree the Standard Contractual Clauses of the European Commission (Implementing Decision (EU) 2021/914), Module Two (controller to processor), with the Customer as data exporter and the Processor as data importer; for Clause 17 the law of Germany applies, and for Clause 18 the courts of Germany have jurisdiction. Onward transfers to subprocessors outside the EEA rely on the EU–US Data Privacy Framework or the Standard Contractual Clauses.

12. General Terms

Confidentiality. Each Party must keep any information it receives about the other Party and its business in connection with this Agreement ("Confidential Information") confidential and must not use or disclose that Confidential Information without the prior written consent of the other Party except to the extent that: (a) disclosure is required by law; (b) the relevant information is already in the public domain.

Notices. All notices and communications given under this Agreement must be in writing and will be sent by email. Controller shall be notified by email sent to the address related to its use of the Service. Processor shall be notified by email sent to hello@parsevix.com.

13. Governing Law and Jurisdiction

This DPA is governed by the law of Germany. In case of conflict between this DPA and the Standard Contractual Clauses, the Standard Contractual Clauses prevail.

14. Customers subject to the KVKK

Where the KVKK applies to Company Personal Data, in particular for Customers in Turkey, this DPA is also the agreement between the Customer as data controller (veri sorumlusu) and the Processor as data processor (veri işleyen). References to the GDPR are read as the corresponding provisions of the KVKK, and the Processor protects the data with the measures required by Article 12 KVKK.

The Processor notifies the Customer of a Personal Data Breach without undue delay, so that the Customer can notify the Personal Data Protection Board within 72 hours and inform the people affected (Article 12(5) KVKK). The Processor's subprocessors abroad (section 5) receive Company Personal Data only on the basis of Article 9 KVKK, in particular the standard contracts of the Personal Data Protection Board, which the Processor notifies to the Authority within five business days of signing.

Schedule 1: Data Processing and Security

Subject and duration: processing of documents the Customer uploads to the Service, for the term of the Customer's account. Nature and purpose: storage, text recognition, masking of personal data, AI-based extraction and classification, and returning the results. Types of data: whatever the Customer's documents contain, typically names, contact and address details, customer, contract and invoice numbers, bank details and amounts. Data subjects: people named in the documents, such as the Customer's customers, suppliers and employees. The technical and organisational measures are described above under “Security at Parsevix” and in our Privacy Policy.
